Laundries and repair shops live on items left in their care. Every item not yet picked up is a question waiting to arrive.

Work status

Work stages your customers can see

Each item has a numbered ticket with the stages Received, In progress, Waiting for parts, Done, and Picked up. You can rename stages, for example In progress to Washing & ironing, and you choose which stages update the customer. By default only two do: when received and when done.

  • Stage history is recorded: who moved it and when
  • One update per ticket per stage; a double click does not send twice
  • An owner per ticket, such as a technician or the ironing station

Receipts from the chat, pickup with buttons

Record what was dropped off, the total, and the pickup time. The receipt goes to the customer, then a ready-for-pickup message with the buttons I’ll pick it up today or Tomorrow, a reminder before the pickup time, and a rating request when it is done.

If an extra cost comes up mid-job, send the description and amount with Approve and Decline buttons. The customer’s first answer is saved on the ticket, so “I never agreed to that” stops being a problem.

Enter your prices once, for example laundry by the kilo, per-piece laundry, screen replacement, or trouser alterations. A price can be fixed or “from”. The keywords “price” or “rates” get the latest list.

How a drop-off flows

From item received to picked up by the customer

  1. Item receivedA ticket is created with a number, the items, the total, and the pickup time. The receipt goes to the customer.
  2. Update at each stageThe stages you choose update the customer. Extra costs are approved with a button.
  3. Ready for pickupA ready-for-pickup message with buttons. A reminder goes out before the agreed pickup time.
  4. Picked up and ratedThe ticket is closed, and the customer is asked for a rating with buttons. The rating is saved.

Stage updates sent more than 24 hours after the customer’s last message use a template: Rp 356.65 per message for recipients in Indonesia (Meta’s official rate as of 1 Oct 2026, before VAT; rates for other countries). That is why only two stages send updates by default: received and done.

One business type for many drop-off services

Laundries, by the kilo or per piece, use Repair tickets the most: weight or piece count, total, and pickup time are recorded once at the counter. The ready-for-pickup message and pickup reminder help reduce laundry left sitting on the shelf, and the rating request after each job helps you keep an eye on washing and ironing quality.

Phone, laptop, and electronics repair need a more detailed Work status. The Waiting for parts stage explains why a repair is not finished yet, and cost approval records the customer’s answer before extra parts are fitted. Warranty questions are handled by the Warranty claim option in the bot menu.

Tailors and alterations usually work to a ready date. Put the pickup time on the ticket so the reminder goes out on time, and switch on Appointments if customers need to come in for measuring or fitting.

AC service and on-call jobs can switch on Appointments for technician visits with a reminder the day before, then use Work status for repairs that take more than one visit. Monthly maintenance contracts can get payment reminders through Recurring bills; the money still goes straight to your bank account.

An extra cost, with the answer on record

While opening Pak Dedi’s phone, the technician finds that the charging connector is also broken. He sends a cost approval with the amount, Pak Dedi taps Approve, and the answer is saved on ticket #87 before the part is fitted.

  • Approvals with buttons are sent within 24 hours of the customer’s last message
  • The first answer is the one recorded; tapping again does not overwrite it
  • Stage history is visible when the customer asks

Sample: a laundry receipt with a pickup time is sent on Friday, then on Saturday a pickup reminder goes out automatically about two hours before the scheduled time.

When Yuni drops off her laundry on Friday, the cashier records the pickup time on the ticket: Saturday at four in the afternoon. The receipt goes out right away, and on Saturday, about two hours before the pickup time, a reminder is sent automatically.

Because Yuni messaged within the last 24 hours, the reminder goes out as a normal message, not a template. Finished items have a pickup time, so the shelf does not fill up with forgotten drop-offs.

Frequently asked questions

Can customers check their order status themselves?

Customers type “is it done” or pick Check repair status in the bot menu, and are asked for their ticket number. Your team sees the stage in the Work status menu and answers in the same chat. The stages you choose also update customers automatically, so this question comes up less often.

Is every stage update paid?

Within 24 hours of the customer’s last message, the update goes out as a normal message, and the first 1,000 replies each month per number are free. Outside that window a template is used. For recipients in Indonesia this costs Rp 356.65 per message (Meta’s official rate as of 1 Oct 2026, before VAT); rates for other countries are on Meta’s pricing page. That is why only two stages send updates by default, and you choose which ones.

Why are stage updates not sent at night?

Template updates are not sent during quiet hours, 9 pm to 7 am WIB (UTC+7). The stage still changes in the dashboard, but that update is skipped, not delayed, and your team can see why. Move stages during working hours when the update matters to the customer.

Can customers approve extra costs in the chat?

Yes. Send a cost approval from the ticket with a description and the amount; the customer taps Approve or Decline, and the first answer is recorded. Approvals with buttons can only be sent within 24 hours of the customer’s last message, following WhatsApp’s rules for free-form messages.

I also do phone repair and tailoring. Do I need two subscriptions?

No, as long as it is one business. Service prices can be grouped by category, and each job has its own ticket. If you want separate numbers for different businesses, the Pro plan includes 2 businesses and 2 numbers.

Can customers rate us after picking up their laundry?

Yes. When a ticket is marked Done, the customer gets a rating request with three buttons: Not happy, OK, and Happy. The request is sent if the customer messaged within the last 24 hours, and the rating is saved on the ticket.
