What usually happens

The shop gets busy, and chats pile up

Customers walk up to the counter and send chats at the same time. The ones on chat are the easiest to miss.

The same price questions, over and over“How much is 10 GB?” “How much is a 100k token?” The same questions come in dozens of times a day, and answering each one takes time away from walk-in customers.
Proof of payment gets lostToken numbers and payment proof go out as ordinary chats. When the customer asks again next month, you have to scroll a long way up.
“My credit hasn’t come in yet!”The customer is worried, you are busy checking with the provider, and there is no record of who is handling that transaction.
One shop phone, several peopleMorning and evening shifts share the same phone. Nobody knows who should answer the chats still waiting for a reply.

How a sale works by chat

From price question to receipt

  1. The customer asks the priceAn auto-reply sends today’s prices from the Price list menu.
  2. The customer ordersThey type the product and the destination number or customer ID. You process it in the app your shop normally uses to top up.
  3. The transaction is loggedFrom the chat window: an automatic running number, and a receipt with buttons sent to the customer.
  4. Success updateOnce it goes through, a Transaction successful update is sent. The customer taps Received or Not received.

kitasapa does not process top-ups and is not connected to your supplier or the server you top up from. Transactions still run in the app you already use; kitasapa keeps the chats, records, and updates in order.

  • The whole team can see who the chat is assigned to
  • The Not received button flags the transaction for another check
  • Transaction history is kept in the customer panel

Sample: a regular customer pays a water bill by chat, the team states the total, then confirms payment.

Monthly bills for regular customers

Because Rina messaged first, these replies count as normal chat replies, not templates.

Phone credit shop or wholesaler?

Pick the type that fits best

If your customers are retail buyers who come to the counter or chat to buy credit, data plans, tokens, and pay bills, the Konter & PPOB type on this page is for you. Transactions are logged per chat, and the receipt goes to the buyer.

If you sell balance to resellers who transact on their own through an app, Telegram, the web, or H2H, choose phone credit wholesaler (server pulsa / H2H). There, chat is used for transaction complaints, deposits, outage notices, and reseller login OTP codes. You can change the business type at any time from the dashboard; existing data is not deleted.

FAQ

Frequently asked questions

Can kitasapa top up phone credit or electricity tokens automatically?

No. kitasapa is not a credit server and is not connected to any supplier. You still top up through the app or server you normally use; kitasapa keeps customer chats in order, logs the transaction, and sends the receipt and updates.

Do transaction receipts on WhatsApp cost money?

A receipt with buttons is sent as a template: Rp 356.65 per message for recipients in Indonesia (Meta's official rate as of 1 Oct 2026, before VAT). Normal replies within 24 hours after a customer chats count toward the 1,000 free replies per number per month; beyond that, Rp 356.65 each. You choose when a formal receipt is needed and when a normal reply is enough. Rates for other countries are on Meta's pricing page.

Can I send data plan promos to all my contacts?

Only to customers who agreed to receive promos. That is a rule of the official route, and also the best way to protect your shop number's quality rating. Promos use a template reviewed by Meta, Rp 586.33 per message for recipients in Indonesia, and always carry a Stop promos button.

Can we still reply from the shop phone?

Yes. The shop's WhatsApp Business number is connected without changing numbers and stays active on the phone. Contacts and the last 6 months of chats are copied over, and then you and your staff can reply from the phone or a computer. Groups and broadcast lists from the app are not connected.

Can customers check their transaction status by chat?

Yes. The bot menu has a Check transaction option: the customer types the transaction number, and your team checks and replies. The Transaction successful update has a Not received button, so a complaint shows up for the team right away without the customer typing a long message.

My shop also serves resellers. Does it fit?

Yes. Give those contacts a Reseller label, and the bot menu has a Become a reseller option. But if your resellers transact through your own app, Telegram, or H2H, the Phone credit wholesaler type fits better because it sets up complaint tickets and login OTP codes.
