Each customer can have several vehicles with plate number, make, year, and last km reading. Every service is recorded: date, km, work done, cost, and mechanic. The next service falls on whichever comes first: the month interval or the km interval, with km estimated from that vehicle's average daily use.

  • A reminder 3 days before, with Book or Later buttons; Later moves the schedule by 14 days, once per cycle

Bookings with a reminder the day before

Set opening hours, how long each service takes, capacity (how many vehicles are worked on at once), and days off. A booking that would overfill a slot or double-book a mechanic is rejected. The day before, a reminder goes out with Coming and Reschedule buttons.

Record the work, the estimated cost, and the pickup time. The customer receives a numbered receipt, a "vehicle ready" message with buttons, then a rating request after pickup.

Motorbikes, cars, tires & batteries

One type for many kinds of shops

Motorbike shops with morning queues get the most from Service booking. Capacity limits how many motorbikes are worked on at once, so customers come at times that are actually free. Regular customers are reminded about oil changes based on their own motorbike's history, not a guessed date.

Car repair shops usually have longer jobs and bigger extra costs. The Waiting for parts step explains why a car isn't done yet, and cost approval makes sure the owner knows the amount before a part is fitted.

Tire, battery, and car wash shops don't always need every menu. Services & parts answers tire prices by size, Service booking manages the wash queue, and menus you don't use, such as Vehicles, can be switched off from the dashboard.

Shops that service fleets, such as courier motorbikes or company cars, can give those contacts a Fleet label, record several vehicles under one customer, and track the service history of each plate number from one screen.

Reminders from the motorbike's history, not guesswork

Two months ago Kak Yuni's motorbike had an oil change, and the service was recorded in the Vehicles menu. Three days before the next one is due, the reminder goes out. She taps Book, the request shows up on your team's screen, and Dewi books her in for Saturday morning.

If a customer taps Later, the schedule moves by 14 days, once per cycle. Tapping Later again stops reminders for that due date, so customers are not chased endlessly.

Frequently asked questions

Can customers book a service themselves on WhatsApp?

Yes. Customers fill in the Service booking form inside the chat or write the day and time. Your team records it in the Service booking menu, which rejects full slots and mechanic clashes, then a confirmation with buttons is sent to the customer.

How is the regular service schedule calculated?

From the history in the Vehicles menu. The next service falls on whichever comes first: the month interval or the km interval, with km estimated from that vehicle's average daily use. Intervals are set per vehicle type and you can change them. The reminder is sent three days before, between 08:00 and 20:00 Western Indonesia Time (WIB).

Is a service reminder counted as marketing?

Meta decides the category when it reviews the template. For recipients in Indonesia, a marketing message costs Rp 586.33 and goes only to customers who agreed to receive it; a utility message costs Rp 356.65 and is not sent to customers who tapped Stop promos. If no usable template exists, the reminder is not sent and the reason is shown on screen.

What if the customer does not answer a cost approval?

The approval stays pending and is visible on the work order. An approval with buttons can only be sent within 24 hours of the customer's last message; outside that window, contact the customer first until they reply.

Can one customer have several vehicles?

Yes. Each vehicle is recorded with its own plate number, service history, and reminder schedule. Plate numbers are unique per shop, so the same vehicle is never recorded twice.

Can chats still be answered from the shop's phone?

Yes. The shop's number stays active in the WhatsApp Business app on your phone, and chats answered from the phone are also recorded in the dashboard. Other team members reply from a computer with their own accounts, up to the number of accounts in your plan.
