What usually happens

Order chats arrive when the kitchen is busiest

Menu questions, delivery orders, and boxed meal orders all come in just before mealtime, right when your hands are in the kitchen.

Chats pile up before mealtimeMost chats arrive between ten and noon. The person holding the phone is also the one cooking, so replies come late and customers order somewhere else.
“What's on the menu today?” every morningThe daily menu changes, so the answer has to be typed again or photographed from the menu board, and then updated when a dish runs out.
Boxed meal orders get scatteredNumber of boxes, pickup time, delivery address, and special requests like sambal on the side are spread across the chat. Missing one can ruin a customer's event.
Promos through status updates or blast appsA status is seen only by people who happen to open it, and blasts from unofficial apps break WhatsApp's rules and often end with the number being restricted.

What you get

Dashboard menus made for food businesses

Choose the Food business type, and the dashboard sets up Orders, Menu, Today's menu, Broadcast, Bot menu, Auto-replies, and Team report. Appointments are available if you also take appointments, for example catering tastings.

Today's menu

A daily menu with portions left and a last order time

Each morning, pick the dishes available from your Menu list or type them in, then add portions left if limited, a note, and the last order time. The previous menu can be copied with one button; portions left and sold-out marks are not copied on purpose, because they change every day.

  • Sold-out dishes show crossed out in replies instead of quietly disappearing
  • Tomorrow's menu can be prepared tonight
  • Auto-replies and the bot menu always use today's menu; if it is not filled in yet, customers get a neutral message, not yesterday's menu
Menu

A fixed menu list with prices

Add your regular menu by category, for example food, drinks, and boxed meals. A price can be fixed, “from”, or “contact us” for catering. The keywords “menu” or “price” are answered with the latest list, and staff only need to mark items that sold out.

Orders

Orders from chat, receipts with buttons

Record the items, total, and pickup or delivery time straight from the chat. The receipt goes out with OK and Change order buttons, a reminder goes out before pickup time, and a ready-for-pickup update follows.

Broadcast

Daily menu to customers who agreed

Send today's menu or a Friday promo to a chosen label, for example Regulars or Office. Only customers who agreed receive it, and anyone who taps Stop promos leaves the list without losing their order updates.

Forms

A catering order form inside the chat

Customers fill in the event date, delivery time, package, number of portions, and address without leaving WhatsApp. The answers land neatly in the dashboard and can be downloaded as CSV.

Bot menu

A bot menu and replies outside opening hours

See menu & prices, Today's menu, Delivery/pickup orders, Boxed meals & catering, Location & opening hours, and Talk to an admin. Chats that come in after closing are answered with your opening hours and when you will reply.

Team report

Who replies, and how fast

See incoming chats, chats answered, and reply time per team member over the last week, so you can decide who handles chats during the lunch rush.

The daily order flow

From the morning menu to the customer's rating

  1. Fill in today's menuPick the dishes available, add portions left and the last order time. You can copy the previous menu.
  2. Customers ask, or receive itThe keyword “menu” is answered automatically. Customers who agreed can receive the menu by broadcast.
  3. The order is recordedItems, total, and pickup time are recorded from the chat. The receipt goes out with buttons, and a reminder follows before pickup time.
  4. Ready, then a ratingA ready-for-pickup update with buttons, then the customer is asked to rate the order with a button once it is done.

Daily menus and promos go out as marketing templates, only to customers who agreed. Receipts and ready updates sent more than 24 hours after the customer's last chat use a utility template. For recipients in Indonesia: Rp 586.33 per marketing message and Rp 356.65 per utility message (Meta's official rates as of 1 Oct 2026, before VAT). Other countries: see Meta's pricing page.

One type, many kinds of business

Food stalls, caterers, bakeries, or coffee shops

Food stalls and restaurants (warung makan, rumah makan) get the most out of Today's menu and auto-replies. The same question every morning is answered without typing, and sold-out dishes show crossed out, so customers are not let down when they arrive or order delivery.

Catering and boxed meals depend on details: event date, number of portions, delivery time, and address. The Catering order form collects all of it at once, the order is recorded with its delivery schedule, and before the event you can send a catering reminder template so the customer confirms the number of portions.

Bakeries and pre-orders usually take orders a few days ahead. The pickup time recorded on the order triggers a reminder about two hours before, so a birthday cake does not sit too long in the display case.

Coffee shops with many takeaway orders can use Orders and ready-for-pickup updates, while seasonal menus go out by broadcast to customers who agreed. Dashboard menus you do not need can be turned off, and you can rename them to match how your business talks.

Sample conversations

Catering recorded, sold-out dishes still handled

Sample: a customer asks about catering for 100 people, the team sends the catering order form, the customer fills it in, then the team sends a price breakdown.

Catering orders without back-and-forth questions

Bu Rina asks about catering for an event at the neighborhood hall (balai RW). Ratih sends the Catering order form, and a few minutes later the date, number of portions, package, and delivery address are complete in the dashboard, with no repeated questions.

  • Form answers are saved and can be downloaded
  • A Catering label makes large orders easy to track
  • The price breakdown is sent as a document in the same chat

Sample: today's menu is sent to a customer who agreed, the customer taps I want to order, one dish has sold out and the team offers a replacement.

The daily menu turns straight into orders

Bu Siti agreed to receive menu updates, so she gets this morning's specials. She taps I want to order, but the pepes ikan has sold out. Agus marks it sold out in Today's menu, so the next customer who asks sees pepes ikan crossed out right away.

Customers who don't want menu updates just tap Stop promos. Their receipts and order updates still arrive.

FAQ

Frequently asked questions

Can I send today's menu to all my customers?

Only to customers who agreed to receive menu or promo updates. A daily menu counts as promotion, so it goes out as a marketing template (Rp 586.33 per message for recipients in Indonesia) and always carries a Stop promos button. Customers who ask on their own still get today's menu as an auto-reply.

Can orders from GoFood, GrabFood, or ShopeeFood come into kitasapa?

No. Chats inside delivery apps run on those apps' own systems. kitasapa receives chats sent to your business WhatsApp number, including from the link in your bio, QR codes on tables or packaging, and click-to-WhatsApp ads.

Does kitasapa take payment for orders?

No. kitasapa records orders and sends updates about them. Payment still goes to your own cash register, bank account, or QRIS, so your customers' money never passes through us.

What if a dish has sold out?

Mark it sold out in Today's menu or in Menu, or enter the portions left and update the number as it drops. The next auto-reply and bot menu show that dish crossed out and marked sold out.

Do receipts and pickup reminders cost money?

If the customer chatted with you in the last 24 hours, receipts and reminders go out as normal messages that count as replies, and the first 1,000 replies each month per number are free. Outside that window a template is used. For recipients in Indonesia that is Rp 356.65 per message at Meta's official rate as of 1 Oct 2026, before VAT, billed by Meta directly to your account.

Can two branches share one subscription?

Yes, depending on the plan. Pro covers 2 businesses and 2 numbers, Promax 4 businesses and 4 numbers. Each branch uses its own number, and you switch between businesses from the same account.
